Hermes Expo Terms & Conditions
These Terms & Conditions govern all exhibitor, sponsor, advertiser, and dinner ticket agreements for Hermes Expo International, organized by Hermes Expo International, Inc. (“Hermes Expo”). Submission of an exhibitor/sponsorship form, advertising order, or payment constitutes acceptance of these Terms & Conditions in full.
1. Booth Reservations & Payments
All booth spaces, advertising placements, and dinner tickets must be paid in full upfront in order to be confirmed and secured.
Booth space is not guaranteed until both the signed exhibitor agreement and full payment are received.
Ad space in the official Hermes Expo Journal or digital platforms will not be reserved or produced until payment is submitted in full.
Dinner tickets and sponsorship tables must also be fully paid to guarantee seating and inclusion in the program.
Reservations made without payment will not be held. Hermes Expo reserves the right to release any unpaid booth, ad space, or tickets to other parties without prior notice.
A valid credit card must be kept on file for all exhibitor and sponsor accounts.

2. Cancellations & Refund Policy
Cancellations must be submitted in writing. Refund eligibility is as follows:
More than 60 days prior to the Expo: 75% refund of total fees.
31–60 days prior: 50% refund of total fees.
30 days or less: No refund will be issued.
No-shows forfeit all fees. Hermes Expo reserves the right to resell any cancelled or forfeited space.
3. Deadlines for Materials
All advertising materials, logos, journal ads, and exhibitor listing information must be submitted by the published deadlines. Failure to meet deadlines may result in exclusion from the Expo Journal, website, or promotional materials without refund.
4. Exhibitor Responsibilities
Exhibitors are responsible for setting up and staffing their booths during published event hours. Exhibitors must comply with all venue regulations and applicable laws. Hermes Expo is not responsible for providing additional furnishings, signage, or staffing unless otherwise agreed in writing. Setup and breakdown times must be adhered to strictly.
5. Liability & Insurance
Hermes Expo, its officers, employees, and agents are not responsible for any loss, theft, damage, or injury that may occur during the event. Exhibitors are strongly encouraged to carry their own insurance to cover their property and personnel. By participating, exhibitors agree to hold Hermes Expo harmless from any claims arising from their participation.
6. Photography, Videography & Promotion
By participating in Hermes Expo, exhibitors, sponsors, and attendees grant Hermes Expo the right to photograph, film, and record the event and to use such materials, including company names, logos, and likenesses, for promotional and marketing purposes in print, digital, and social media platforms, without compensation or further approval.
7. Event Modifications
Hermes Expo reserves the right to make changes to the floor plan, schedule, or programming as necessary. In the event of circumstances beyond its control (including but not limited to venue closures, acts of God, or government restrictions), Hermes Expo may modify, reschedule, or cancel the event. In such cases, Hermes Expo will make reasonable efforts to provide credits or alternative arrangements but is not responsible for expenses incurred by exhibitors or sponsors.
8. Agreement to Terms
By submitting an exhibitor or sponsorship form and/or providing payment, the exhibitor, sponsor, or advertiser acknowledges that they have read, understood, and agree to these Terms & Conditions. Hermes Expo reserves the right to amend these terms at any time without prior notice.
